This document outlines the key elements to consider when the interface between RoomKey and STS Cloud is live. It provides a step-by-step guide for users to effectively manage group bookings and ensure seamless integration between the two systems.

When the RoomKey interface is live, all new bookings must be created in STS Cloud first. The following steps should be followed:

1. Build the group in STS Cloud. Users will create the booking, block rooms, and reserve function spaces to manage the meeting space.

2. Generate the client contract document once the group is created in STS Cloud.

3. After generating the client contract, proceed to build the booking in RoomKey.

Once the group is established in RoomKey, it is essential to note the Group ID number. This should be recorded in the General Information tab of the booking in STS Cloud, specifically in the Group Code field.

During the End of Day Closeout process, a data file is sent to STS Cloud. This file matches any group reservations made in RoomKey throughout the business day, updating the pickup within the STS Cloud booking. It is important to note that:

• Groups created in RoomKey prior to the activation of the interface will still require a manual check of the pickup and an update in STS Cloud.

• The interface only transmits group reservations made on a daily basis from the date of activation during the End of Day Closeout process.

To activate the interface, please contact RoomKey for a quote. It is important to note that:

• STS Cloud does not charge a fee for the interface.

• RoomKey will provide a quote for costs directly from their side.

• Your RoomKey Property ID is required to activate the interface.

Users must ensure that STS Cloud bookings are updated with the RoomKey Group ID numbers in the General Information tab, specifically in the Group Code field of all bookings. This step is crucial to ensure that pickup updates occur accurately.
