Periodic Email Dropbox Check
The Email Connection Verification Tool is a vital feature within the STS platform, designed to assist users in ensuring that emails are accurately linked to their respective contacts and accounts. This tool is particularly beneficial for identifying discrepancies between client emails in Outlook and the corresponding contact information stored in STS Cloud.
Steps to Verify Email Connections
To ensure that all emails sent into STS have been matched to your contacts, it is advisable to perform the following steps weekly:
Click the Tools icon in the top menu bar.
Select Email Dropbox from the dropdown menu.
Once the Email Dropbox screen opens, you should ideally see no emails listed. This indicates that all emails sent into STS have been successfully matched to your contacts.
If you see an email listed, this means that STS could not find a corresponding client email address. Refer to the screenshot below for clarification.
Click on the subject line of the email listed to view more details.
On the next screen, click the Create New Activity from Email button to link the email to the appropriate contact.
Lookup the account to which you want to move the email, and select it in the Account Name field.
Scroll to the bottom and click save. This action will move the email into the correct account.
